Details matter, and project files are one of the features that pave the way to better outcomes.

In today’s fast-paced work environment, managing and organizing project documents efficiently can make or break the success of a project. The Project Files feature is designed to streamline this process, offering a centralized hub for all your project-related documents. This feature enhances collaboration, ensures everyone is on the same page, and ultimately leads to more successful project outcomes.

Let’s dive into the benefits, technical features, and practical uses of the Project Files feature.

User benefits

Eliminate duplicate data, break down silos and increase transparency.

  1. Centralized storage as a single source of truth. All project documents are stored in one place, making it easy for team members to access, review, and update files.
  2. Improved collaboration and efficiency. Team members can collaborate in real-time.
  3. Enhanced organization. Documents are organized systematically, reducing the time spent searching for files and ensuring that the latest versions are always available.
  4. Better decision making. With all relevant information at their fingertips, team members can make more informed decisions quickly.

Technical features

  • File linking. Link to external files stored on platforms like Google Drive, Dropbox, or OneDrive.
  • Version control. Keep track of document versions, ensuring that everyone is working on the most up-to-date files.

How to use Project Files?

At any stage of project creation.

From ideation to prioritization, decision-making, and task management, the Project Files feature can be used at every project phase process:

  1. Ideation phase. Collect brainstorming notes, research documents, and reference materials. Having these documents in one place ensures that the team can easily refer back to initial ideas and research as the project progresses.

During the brainstorming session for a new project, upload all research documents, competitor analyses, and brainstorming notes to the Project Files.

  2. Planning phase. Store project plans, timelines, and resource allocation documents. This makes it easy for team members to understand the project scope and deadlines.

For the project planning, include detailed project timelines, budget plans, and resource allocation documents to ensure everyone knows the project milestones.

  3. Execution phase. Keep track of deliverables, work-in-progress files, and interim reports. This helps in monitoring progress and making necessary adjustments.

As the project progresses, upload draft content, graphic designs, and interim performance reports to track progress and gather feedback from the team.

  4. Review phase. Collect feedback documents, performance reports, and review notes. This helps in evaluating the project’s success and identifying areas for improvement.

Post-project, gather all feedback forms, performance analytics, and review notes to assess the campaign’s impact and discuss lessons learned.

  5. Closure phase. Store final reports, project summaries, and post-mortem analyses. This ensures that all important documents are available for future reference and audits.

After the project ends, compile the final performance report, customer feedback, and a post-mortem analysis document to understand what worked well and what didn’t.
  1. Click on the “Files” icon. In the top left corner of any stage of the project process, you’ll find the Files icon.
  2. Press the “+” sign. Click on the “+” sign to add a new file.
  3. Enter file details. Fill in the ‘File name’, ‘Description’, and ‘Location’ or where the file is stored, then add the link.

The more data you add to the project, the better the outcomes you may get. No matter what stage you are at, the details matter. Having all project documents organized and accessible can significantly improve the efficiency and effectiveness of your team’s work.

It ensures that everyone has the information they need to perform their tasks, make informed decisions, and achieve project goals.

In summary, the Project Files feature is a powerful tool that can greatly enhance your project management process. By centralizing document storage, improving collaboration, and ensuring easy access to important information, it helps teams to work more efficiently and effectively.
